The system allows for multiple Owners on a single Child Care Account. When more than one owner is attached to a Child Care Account, each owner uses their unique email address and password to log in.
Additional owners can only be added by an Administrative user with access to the staff side of Eleyo (parents can not make this change online as all details have to be vetted by staff before the change is made to avoid unintended consequences). If adding additional owners, that person must first exist in the Administrative side of system (Contacts > People).
Important Note: it is never recommended for parents to share a login. Each person should have a profile in the system including a unique email address and a password they set. That allows staff to see which parent did what when they have logged into their account.
All account owners do see all invoices, contract/schedules, payments and credits on the account and have equal access to change the contract schedule, add or remove authorized pick ups, etc. They do not have access to see or use the saved payment methods for the other owner.
Owners who have made payments can print the annual tax statements online. Payments on the tax statements are categorized by payer. The same report that is generated from the Admin side is what parents download.
Contracts
For families that may have alternating schedules due to custody, the invoice will reflect whatever dates and contracts are on the account. For example, if there is one Pick Your Day contract, it will not bill each parent for the dates they added. It will bill for the total number of dates. If more than one contract exists on the account, either owner can add or remove dates to either contract. The Child Care Attendance app will also reflect both contracts. Some teams will not allow the parents to change the contract online for these situations and only let staff make a schedule change.
Payments
If an additional party only needs to make a payment to a Child Care Account and does not need to access any other features (like making a schedule changes, getting invoices, etc), the Quick Pay option can be used. Select here for details on Quick Pay.
Multiple auto-pays can be attached to the same Child Care Account. Each payer would be assigned the correct percentage when the autopay is set up by staff. Split autopay must be set up by an Administrative user. Click here for directions on setting up multiple/split autopays.
Authorized Pickups
The default for Authorized Pickups is to allow account owners to do that independently online. Staff can set a particular child care account to not allow the authorized pickups to be changed by the account owner online. That can be helpful for families with alternate arrangements where there are agreed upon pickup people that should not be changed or when staff want to be informed directly when a change needs to be made (so reports can be updated, etc).
Adding Additional Owners to a Child Care Account
- Select Child Care.
- Select Accounts.
- Search for and select the desired Account to add an Owner.
- Select Modify Account.
- Select Add Another Owner.
- Begin typing the additional Owner's name.
- Select the correct Owner name when displayed.
- Scroll to the bottom of the screen and select Save.
Below is an example of what is displayed on the Public side for each Child Care Account Owner. When an owner selects the Pay button, they must enter a new or use their own saved payment method.
