As of December 21, 2021, Eleyo has three system surveys that Minnesota customers can utilize to collect data required for Ed-Fi reporting.
- Early Childhood Family Education (ECFE) And School Readiness Parent Questionnaire
- Ethnic And Racial Demographics Designation Form
- Language Survey
Eleyo has worked directly with Minnesota Department of Education (MDE) to ensure these surveys are compatible with the Ed-Fi reporting standards.
If there are any questions that are not currently part of these surveys, your team can add a question template to collect that data, however, it won't automatically be included in the Ed-Fi reporting.
The surveys can be attached to the ECFE course sections by enabling Include Participants In-State Reporting. The system automatically attaches all three surveys to course sections that have Include Participants In State Reporting enabled. Administrators can choose to deselect any of the three surveys. However, Eleyo recommends including the Early Childhood Family Education (ECFE) and School Readiness Parent Questionnaire survey at minimum for customers that choose to enable Include Participants In State Reporting for their ECFE courses section. In order to populate the system-generated export file from Eleyo, these surveys must be used to collect the data. All three of these surveys have been enabled with autofill.
On the Admin side, if you navigate to Reports > Surveys, you should see the Surveys (highlighted in yellow) that were added to the system. If you select any of these Surveys and choose Show Survey, you can see all of the questions that will be presented using that Survey.
Follow the steps outlined below to enable the Include Participants In State Reporting and attach the surveys to your ECFE course section.
Complete the Task: Attaching State Reporting Surveys to ECFE Course Section
- Navigate to ECFE
- Select Course Section
- Select the desired course section
- Select Modify
- Enable Include Participants In State Reporting
- Select Early Childhood Family Education from the state Reporting Program Name
- Select the desired state reporting surveys
- Select Save
Additionally, the surveys are also available for Child Care Programs that have enabled the Is This An ECFE/SR Program option.
Complete the Task: Enable ECFE/SR Program option
- Navigate to Child Care
- Select Programs.
- Select the desired program and select Modify.
- Ensure the option in the top left for Is This An ECFE/SR Program is set for Yes
- Select Save
Once the ECFE/SR program option has been enabled, the surveys can then be attached to any Child Care Site Section under that program.
Complete the Task: Enabling State Reporting Surveys for Child Care Site Sections
- Navigate to Child Care
- Select Sites
- Select the desired Site
- Select Modify
- Enable Include Participants In State Reporting for each desired Site Section
- Select Early Childhood Family Education from the state Reporting Program Name
- Select the desired state reporting surveys
- Select Save
Once these steps have been completed, during registrations on both the Administrative side of the system and on the Public side, the contract creation process will include additional questions that help fulfill the requirements of the state reporting standards.
Note - Existing course sections that have been set up with the original Early Education Student survey will be able to keep the original survey attached. When modifying an ECFE Course Section, it will now be displayed in the list of State Reporting Questions as Early Education Student (Deprecated). However, if the Early Education Student (Deprecated) is disabled or removed from a course section, there is no way to re-enable it. Regardless of whether the survey is removed from the course section, Eleyo will still save all data already collected for any enrollment that has answers to the survey questions. Additionally, that data can still be exported using the Early Education Student Export report.
Finally, Eleyo is working with student information system vendors and districts on best practices and processes to export this newly collected data into compatible formats.
