Discounts to be applied to Course and ECFE enrollments both on the Public side and the Administrative side of the system. Online, Discounts are applied automatically when the enrollment meets certain criteria. On the Administrative side, staff manually selects that discount when entering or modifying an enrollment.
Promotional Codes can be applied by a consumer through entering the specified code in the cart, as long as the enrollment meets all necessary criteria. An Administrative user may apply a promo code by entering the code in the enrollment cart during checkout.
For example, an Employee Discount that would automatically give a 10% discount to anyone who has an email domain of 'districtname.org' can be created. Another automatic Discount might be a Senior Discount where anyone who has an age over 55 will automatically receive $5 off their registration costs. Promotional Codes can be created for options like Early Bird Registration Specials during a specific date range, or applied when there is a minimum dollar amount in the cart. Promo codes can be used alongside other promo codes or they can be limited (i.e. not stacked with other promo codes). Promo codes will be stacked with other discounts (that can not be limited).
How to create Discounts or Promotional Codes:
- Point to Courses or ECFE.
- Select Discounts.
- Select Add Discount. Note: Promotional Codes is now listed as a Limitation type under under the Discounts menu.
- Complete the New Course Discount form. Use the Switch to Flat Fee if a specified dollar amount rather than a percentage is to be discounted. If Available Online is set to Yes, it will automatically be available for all online enrollments. Select which Course Categories and Catalogue this discount may be applied toward. Use the Add Limitation to add any optional and automatic limitations such as email domain, age, or minimum cart amount.
- Select Create.
The following Limitation Types are available for both Discounts and Promotional Codes.
Age Range
Anyone whose age falls within the specified range would receive the discount. When enrolling online, the system checks that someone is eligible automatically based on the date of birth in their profile and age as of the day they're enrolling. If the person being enrolled does not have a birth date in their profile, they will be prompted to edit their profile and update that information.
Date Range
Anyone registering during the dates indicated in the set up will automatically receive the discount. An example is an Early Bird Discount that will automatically take the percentage or flat amount off the price. Staff don't have to manually adjust prices. The Course Section is set up with the full price then the discount automatically lowers the price when people checkout during the pre-set date range. Using this discount reflects it starting at 12 midnight on the start date and runs until 11:59PM on the end date. If staff are looking to create a discount that runs for just one day (i.e. Black Friday), the start and end dates can be set as the same date.
Email Address Domain
If a logged in user has an email address that matches the specified domain (i.e.@eleyo.com, @districtname.org) the discount would be available to all enrollments in the cart. For example, if an employee is enrolling themselves and a partner, both enrollments would receive the discount (provided the other parameters are met). Another example is if a parent that is an employee is enrolling their child in a course and the course is set up to recognize an employee discount, the child's enrollment would qualify for the discount. However, if the logged in user's domain does not match the specified domain but the cart does include a different enrollee with a match for the specified email domain, the discount would only apply to the enrollment for the eligible person when multiple enrollees exist in the same cart (since only 1 person qualifies for the discount).
Minimum Cart Amount
The total dollar amount in the cart must be at least the amount set for this discount or promotional code in order to be applied to the cart total. For example, if an enrollment is $30 and the minimum requirement in the cart is $25, the discount or promotional code can be applied.
Maximum Cart Amount
The total dollar amount in the cart must be no more than the amount set for this discount or promotional code in order to be applied to the cart total. For example, if an enrollment is $30 and the maximum requirement to receive $5 off is $25, the discount or promotional code cannot be applied.
Member of a specific organization
Only members of organizations that exist in your system can receive the discounted amount off their enrollments. For example, all users who are in an organization called District Volunteers can receive a 10% discount for all enrollments in their cart. These users must be entered as a member of the organization by an Administrative user.
Enrollment in the same... (Multiple User)
Only the enrollment at the position specified gets the discount. So, if it’s set to 3 then the 3rd enrollment in the cart, or same course, course section, category, or catalog gets the discount. The 1st, 2nd, and 4th+ enrollments do not get a discount.
Minimum number of the same...
It will apply to each item in the cart. All enrollments in the cart, or same course, course section, category, or catalog get the discount if there are at least the number specified. So, if it’s set to 3 and there are 3 or more enrollments that meet the limitation requirements, all enrollments get the discount. If there are only 2 enrollments then neither of the enrollments get the discount. Note: It will not take the discount amount off the cart total but rather off each enrollment.
Maximum Uses Per User
Allows for a discount or promotional code to be used a specified number of times (total) for each user. This will not limit the number of times a discount can be applied by an Administrative user.
Promotional Code
Promotional or Promo Codes must be entered exactly as they are created in the Administrative system and must comply with any limitations set. The limitations may include date range or maximum cart amounts. For example, if an Administrative user creates a $10 off promo code called Early, to be applied during a date range as an Early Bird Special, a user can enter the word Early in the shopping cart during the specified date range, and receive $10 off their enrollments. Promo codes can be used alongside other promo codes or they can be limited (not stacked with other promo codes). Promo codes will be stacked with other discounts (that can not be limited). Additionally, there is not a way to limit the Promo code to only be used on one item if there are other items that meet the criteria (ie which Category the classes are in). Promo codes automatically end at 11:59PM on the end date that has been set.
