Buildings and rooms are set up on the Admin side then associated with the Child Care Sites, enrichment or ECFE Course Sections, etc. to indicate the location of that offering. Adding accurate addresses to Buildings ensures consumers can view and print directions using the Google Maps integration built into the Eleyo system.
When a district/program uses the complete Facility module from Eleyo, staff indicates whether a Building is Managed or Not Managed. When Rooms are added to Managed buildings, it enables conflict checking when requests for reserved space are made for those rooms. There is an additional charge for managed buildings (please contact Support if you have questions on these charges). If your team is allowing permits for managed buildings to be requested online, the system will automatically select all rooms in that building if there are less than 10 rooms.
Room Tags are used for assigning Rates for invoicing facility requests. For example, when creating Rooms, you can assign a 'Priority 2' Rate to all rooms that reflect a tag of 'Elementary Gym'. Note: The terms, Priority 2 and Elementary Gym are example Rate types and Room Tags for illustration purposes. Unique Rate types and Room Tags can be created to reflect the specific needs of your district/program.
If you wish for a building to be displayed in the list of Attending School options, it must either include the word 'school' in the name (i.e. Benjamin Franklin Elementary School) or be tagged with the word 'School' using the Tags feature.
Add a Building
- Point to Facilities.
- Select Buildings.
- Select Add Building.
- Complete the New Building form. The Building Name and Address are required fields. Note: If the address is not recognized as a valid address by the Google Map integration, please contact Support. Set Managed to Yes only if your Facilities team is managing this building through the Eleyo system (this includes conflict checking). Note: there is a fee for each managed building that is added. Select Online = Yes if you plan to display the Facilities calendar online and this building should be displayed.
- Select Create
Add a Room
- Point to Facilities.
- Select Rooms.
- Select Add Room.
- Complete the New Room Form. If using the complete Facilities module, update the Room Tags. Set Online to Yes if this room will be displayed on the online Facilities calendar.
- Select Create.
