When using Hourly Rates for Child Care, the system allows Programs to specify how the rates are charged. Rates can be based on attendance using the fields for Minimum number of minutes and Round up to the minimum number of minutes. This is applicable for the following contract types: Consistent Schedule, Pick Your Days, and Pick Your Weeks. The system does not currently support hourly rates for Drop-in contracts, Non-School Day Only contract or Drop in/Non-School Day care.
Hourly rates are intended to work with the Child Care Attendance app on the iPad or when an Administrative user manually adds attendance for each contract. Otherwise, the system defaults to charge for only the pre-set minimum number of minutes on scheduled days as outlined below.
- When the minimum number of minutes is set to 0, the system will not charge for dates the student is not signed in on the Child Care Attendance app (or, when no attendance is entered by an Admin directly).
- When the minimum number of minutes is set to something other than 0 (i.e. 30, 60), the child is charged a minimum of 30 or 60 minutes if they were scheduled to be there (even if no attendance data has been captured or entered).
The screenshots below display common scenarios, how the system will charge and how it will be reflected on an invoice on the Admin side. Parents will see the totals (the invoice does not reflect the daily details on the public facing invoices).
