Creating a Program is the first step in setting up your Child Care in Eleyo. The Program reflects the name your families recognize. When creating the Program, there is an option to add a logo specific for that Program. The logo is displayed on the Public side and is included on the system generated emails, reports and rosters for that Program.
There are fields for a Short Description and Long Description that provide details about the Program on the Public side. The Short Description is included on the receipts that families can download online. It can be helpful to wording around before and after school for IRS or Flexible Spending (FSA) or other reimbursement purposes.
The Late Fee Exemption is the field where you would enter the dollar amount that you want to be the balance threshold for charging (or not charging) the late fee. In this case, if you enter $25 in that field, if the balance is over $26 or more, the late fee would be charge (after the grace period has expired). If it's $25 or less, it would not charge them.
When using the Child Care module for Preschool, there is a setting for Is This An ECFE/SR Program?. For districts in MN, when that is set to Yes, the system will automatically present the Early Education Student Report (EESR) questions for the MDE state reporting during the online registration.
To create a new Child Care Program, follow the steps below:
- Point to Child Care.
- Select Programs.
- Select Add Program.
- Complete the New Child Care Program form.
- Select Create.
Note: If created in error, Programs are not able to be deleted from the Administrative side of the system. If one was created in error and you need to have it removed, please contact Eleyo Support.
