Evaluations or Surveys can be set up in Eleyo to capture feedback on enrichment Courses, ECFE Courses or Child Care Programs. Survey emails are automatically sent to registered enrollments on the date indicated during the setup. When surveys are attached to an enrichment or ECFE Course Section, they are sent to all participants in that section. When surveys are attached to a Child Care Site, they are sent to all families that have an accepted contract at the site.
When a Survey has been associated with one or more items in the system, it is automatically considered to be part of a Campaign. The Campaign show page includes the schedule of surveys (pending and sent) as well as a results tab. For example, if a survey was associated with multiple Course Sections and each had a unique scheduled date to send the survey, the Scheduled/Delivered tab of the Campaign show page would display the dates with each corresponding Course Section numbers.
The default for evaluations is that the responses are anonymous. Your team can toggle a setting under System Preferences so they are not anonymous (and your team would see who provided the particular responses). If the setting is changed after responses have already been received, it will only impact new responses. For example, if 5 people took the survey when it was set to anonymous, those 5 surveys would remain anonymous. The Response ID field would designate they were different respondents. If the evaluations are set to not be anonymous, the results will show the user name who submitted the answer to each question.
Once results from the survey have been received, they can be viewed from multiple show pages in the system. If there were open-ended questions that were not required questions and no one provided Reponses to them, the tab will not reflect those questions. You would able to see all of the questions and answers under the Survey Results reports.
To view Survey Results for a specific Course Section:
- Point to Courses or ECFE
- Select Course Sections.
- Search for and select the Course Section then select Show Section.
- Select the Evaluations tab. A summary will be displayed.
To view Survey Results for a Catalog:
- Point to Courses or ECFE.
- Select Catalogues.
- Search for and select the Catalogue then Show Catalogue.
- Select the Evaluations tab. A summary will be displayed.
- Select the magnifying glass to see additional details on that survey.
To view Survey Results for a Child Care Site:
- Point to Child Care.
- Select Sites.
- Search for and select the Site then Show Site.
- Select the Evaluations tab. A summary will be displayed.
There are two pre-made reports that can be run to download the results: the Raw Survey Results report or the Survey Results Summary report. The Raw Survey Results report includes every response to each survey question for all the survey results in an Excel format. The Survey Results Summary summarizes total answers by Catalog or Season in a PDF document.
The reports can be run from a variety of locations in the system. The reports can run from the Reports menu (Reports > Survey Results) or from the following list views:
- Child Care > Sites
- Courses > Catalogs
- Courses > Courses
- Courses > Course Sections
- ECFE > Catalogs
- ECFE > Courses
- ECFE > Course Sections
- Surveys > Surveys
- Surveys > Survey Results (Campaigns)
Reports can be run for a list of Courses or Course Sections and includes results from one or more in the same report. For Child Care, reports can be run from a list of Sites and includes results from one or more in the same report.
To generate and download either report:
- Point to Reports.
- Select Surveys.
- Select the desired survey then Show Survey.
- Select Run Reports
- Select the desired report to run then select Run Selected Reports.
- Update any of the data fields and the desired output format.
- Select Continue
- When the report is finished running, select the Download Finished Report(s) to view, save and/or print. Select Send via Email to send as a link via email.
