Administrative Users with appropriate permissions may record attendance for enrollments in a Course Section. Attendance is indicated for each person enrolled and the date they attended for every date the Course Section runs. When attendance is added, the system automatically calculates total attended hours based on a Course Section's start and end time multiplied by the number of dates the enrollee's attendance was checked as 'attended'.
Use these steps to record attendance on the Admin side:
- Point to Courses
- Select Course Sections.
- Search for and select the Course Section to record attendance.
- Select Show Section.
- Select the Attendance button.
- Verify the date at the top or use the arrows to move the date forward or back.
- Use the check boxes to mark the enrollments as attending for that date. If a student was enrolled after the selected date, they will be displayed in a separate section to allow staff to mark that they did possibly attend even before the enrollment was created.
- Select Save
Viewing Attendance from the Administrative side:
- Point to Courses
- Select Course Sections.
- Search for and select the Course Section to view attendance.
- Select Show Course Section.
- Select the Attendance tab from the grey toolbar.
Reports of all Attendance or Individual Attendance
You are able to run an attendance report for all enrolled people or single person using the Enrollment Attendance Export. This report will indicate the number 1 for each date a person has been marked as attending and will be blank for any date where they do not have attendance indicated.
- To run the report for an entire class including all enrolled people, navigate to the Course Section show page and select Run Reports on the right. Select the Enrollment Attendance Export then Run Selected Reports. Select Continue. When the Download button changes to green, select it to open the Excel file.
- To run it for one individual, select the magnifying glass to view their enrollment show page then use the same steps as above.
Printing a Roster to take manual Attendance
- Point to Courses
- Select Course Sections.
- Search for and select the Course Section to print the attendance for.
- Select Show Course Section.
- Select the Reports button in the top left.
- Select Course Roster.
- Select Run Selected Reports.
- Update any of the Data fields (roster columns, etc) and the desired output format. If you want to include boxes to manually take attendance, ensure the option to Include Date Columns is set for either 14 or 21 dates. Leave the field blank to automatically include dates from the course section date range.
- Select Continue.
- When the report is finished running, select the Download Finished Report(s) to view, save and/or print. Select Send via Email to send as a link via email.
