There are multiple locations to view a refund. From any show page, there is the magnifying glass that will display more detail for that refund. From a list view, there is a Show Refund button to see those details.
When looking at the show page, on the left are the Created date and the Issued date. In most cases, the Created and the Issued dates are the same unless staff is not issuing an electronic refund and are instead waiting to issue a paper check refund at a future date. There will also be a Settled date and a Deposit date. If there is a Settled date, the refund has been transmitted to the bank and will be debited from the district's deposit. Credit Card refunds generally settle the same day. ACH/echeck refunds can take a few business days to settle.
Staff can start the process of refunding an ACH in the system, but it will not actually go back to the customer until the original payment is debited. If the original ACH payment is not able to be debited from the person's account, any refunds that were created will not be complete (as there would not be funds received to refund to the customer).
To view Refund details from the Finance module:
- Point to Finance.
- Select Refunds.
- Search for Payer or select View All.
- Locate and select the refund then select Show Refund.
