Staff can view scheduled and attended student counts for regular care on the Daily Counts tab on the show page for each individual Site. Along with counts for each section, it includes an unduplicated count (i.e. if a student is scheduled for AM and PM, they will only be counted once for the Totals at the bottom). Attendance data can be transmitted from the Child Care Attendance app or manually entered into the system.
TIP: Use the Include Pending Changes slider found on the Site's Daily Counts tab to view scheduled counts including any pending contracts and/or pending schedule change requests.
Staff can print Daily Scheduled Counts report (showing total scheduled with a summary of total attended and Drop Ins broken out) and Daily Attended Counts report (showing total attended broken down by grade with Drop Ins automatically included in the total). These reports can be run for a single regular care Site from the Site show page or for multiple sites from the Site list view. When printing the report for multiple sites, the Excel file will separate the counts by date and by Site, but will include all of the data on the same worksheet.
The Daily Schedule Counts can also be run for a list of Pending Contracts to see how many are potentially scheduled (Child Care > Contracts > filter for Season and State is Pending). Each date of the contract is listed in a separate column and each grade in a separate row with each Site in its own group:
For Non-School Day Sites, staff can view the numbers on the Daily Breakdown tab of the Non-School Day Site show page. Staff can print an Excel report of the Non-School Day Roster report. When running the report, if the option of Mark Attendance is set as No, the report will display a number 1 in the cell to show the student is scheduled. There is a Total Scheduled section for each date included in the report. The Non-School Day dates that the student is not scheduled will show a shaded cell (rather than displaying the 1 that designates them as scheduled).
Viewing Daily Counts from the regular care Site Show Page
- Point to Child Care.
- Select Sites.
- Select the desired site then select Show Site.
- Select the Daily Counts tab. Scroll through each week using the < or > arrows near the top of the Daily Counts tab. Scroll to the bottom of the tab to view scheduled and attended numbers. Note: Attended numbers only appear for sites using the Child Care Attendance app to take attendance. Use the Include Pending Changes toggle to include contracts that have not yet been approved in the daily counts. Selecting a number within the Daily Counts tab will automatically hyperlink to view the specific list view reflecting the contracts that comprise that day's number.
Printing Daily Counts report from the regular care Sites List View
- Point to Child Care.
- Select Sites.
- Select the check boxes on the left for the site(s) to include in the report.
- Select Reports from the top left side of the screen.
- Select the desired Daily Counts report (Scheduled or Attended) and select Run Report(s).
- Indicate the date range
- Select Continue.
- When the Download button changes to green, select it to open the Excel report.
Viewing Attendees from the Non-School Day Site Show Page
- Point to Child Care.
- Select Non-School Day Sites
- Select the desired non-school day site and select Show Site.

Printing Non-School Day Roster to include scheduled counts
- Point to Child Care.
- Select Non-School Day Sites.
- Select the check boxes on the left for the site(s) to create the report for.
- Select Reports from the top left side of the screen.
- Select the Non-School Day Roster
- Indicate the desired date range.
- Select Yes for Include Date Columns and select either the 14 or 21 column option.
- Keep the setting for Mark Attendance as No.
- Be sure to change the Output Format from PDF to Excel.
- Select Run Report(s).
- Select Continue.
- When the Download button changes to green, select it to open the Excel report.
