When using hourly rates in the Child Care module, the system allows Programs to specify how the rates are charged. Rates can be based on attendance using the Minimum number of minutes and Round up to the minimum number of minutes fields. This is applicable for all contract types (consistent schedule, pick your days or pick your weeks). NOTE: The system does not currently support hourly rates for drop-ins.
Hourly rates are intended to work with the Child Care Attendance app on the iPad or when an Administrative user manually adds attendance for each contract. Otherwise, the system defaults to charge for only the minimum number of minutes on scheduled days.
When the minimum number of minutes is set to 0, the system will not charge for dates the student is not signed in on the Child Care Attendance app (or, when no attendance is entered by an Admin directly).
When the minimum number of minutes is set to something other than 0 (i.e. 30), the child is charged a minimum of 30 minutes if they were scheduled to be there.
The screenshots below display common scenarios, how the system will charge and how it will be reflected on an invoice.
